Understanding Attachment Loss
QuickBooks attachments can go missing for several reasons: accidental deletion, moved storage folders, file corruption, or broken links after backup restoration. Understanding the cause helps determine the appropriate recovery approach.
Common Causes of Missing Attachments
- Attachment storage folder accidentally deleted or moved
- Network path to attachments no longer accessible
- Company file restored from backup without restoring attachments
- File corruption in attachment storage folder
- Permissions changed preventing QuickBooks from accessing files
Diagnosing Missing Attachments
- 1Check attachment count
Company → Documents → Doc Center. Note total attachment count. If suddenly zero or significantly reduced, indicates widespread loss.
- 2Verify storage location exists1. Edit → Preferences → Integrated Applications → Attachments2. Note storage path3. Open Windows Explorer and navigate to that path4. Verify folder exists and contains files
- 3Check network connectivity
If attachments on network drive, verify you can access the network path. Try opening \\ServerName\Share directly in Explorer.
- 4Review recent changes
Ask yourself:
- Did we recently restore a company file backup?
- Has the server or attachment folder been moved?
- Were there recent Windows updates or permission changes?
- Did anyone clean up disk space or delete old files?
Fixing Broken Attachment Links
If files still exist but QuickBooks cannot find them (wrong path), update the attachment storage location:
- 1Locate actual attachment files
Search computer for "Attach" folder or common attachment file names. Check default location: C:\Users\Public\Public Documents\Intuit\QuickBooks\Company Files\
- 2Update attachment path1. Edit → Preferences → Integrated Applications2. Company Preferences → Attachments3. Browse to correct location where files actually are4. Click OK
- 3Rebuild attachment index
Close QuickBooks, delete Attachment.ini file from attachment folder, reopen QuickBooks to force reindex.
- 4Verify restoration
Open Doc Center and check if attachments now appear. Test opening a few files.
Recovering Deleted or Lost Files
If attachment files were actually deleted, you may be able to recover them:
Windows File History
If enabled, File History may have backed up your attachments.
Recommended for:
Recent deletions on systems with File History enabled
Shadow Copies (Previous Versions)
Windows creates shadow copies during System Restore points.
Recommended for:
Deletions within last few days on Windows systems
File Recovery Software
Third-party tools can recover deleted files before overwrite.
Recommended for:
Accidental deletions discovered quickly
Using Previous Versions (Windows)
- 1Access Previous Versions
Right-click the attachment folder (or parent folder if attachment folder is gone) → Properties → Previous Versions tab
- 2Select restore point
Choose a date/time from before files were lost. Click "Open" to preview contents.
- 3Restore files
If files are present in preview, click "Restore" to recover them to original location, or "Copy" to restore to different location.
Restoring Attachments from QuickBooks Backup
If you have QuickBooks backups (.QBB) that included attachments:
Backup Attachment Options
- 1Restore backup to test location
File → Open or Restore Company → Restore a backup copy. Restore to a temporary location (not overwriting current file).
- 2Locate restored attachments
When restoring, QuickBooks extracts attachments to subfolder. Navigate to restore location and find Attach folder.
- 3Copy attachments to current storage
Copy files from restored backup's Attach folder to your current attachment storage location.
- 4Rebuild index
Close QuickBooks, delete Attachment.ini, reopen to force QuickBooks to recognize the restored files.
Repairing Corrupted Attachment Files
If attachment files are present but corrupted (cannot open, errors when viewing):
PDF Corruption
Try these PDF repair methods:
- Open in Adobe Acrobat (not Reader) → File → Save As to create clean copy
- Use online PDF repair tools (PDFaid, PDF2Go)
- Convert to image (if content is important, even if formatting is lost)
Image File Corruption
For corrupted JPG, PNG, or other image files:
- Try opening in different image viewers (Windows Photos, Paint, GIMP)
- Use image repair tools (Stellar Photo Repair, PixRecovery)
- If partially viewable, screenshot the visible portion
Severe Corruption
Bulk Reattachment Procedures
If you have recovered files but QuickBooks links are broken, you may need to manually reattach:
For a few attachments:
- Open the transaction or record
- Click attachment icon → Attach File
- Browse to recovered file and select
- Repeat for each affected record
For many attachments (100+):
Manual reattachment is tedious. Consider these alternatives:
- Restore entire company file from backup that includes attachments (lose recent transactions)
- Hire QuickBooks consultant to use SDK/API for bulk reattachment
- Accept loss and reattach only critical documents going forward

- Backup attachments separately: Copy attachment folder to external drive weekly
- Include in QuickBooks backups: Always check "Include attachments" when backing up
- Cloud backup: Use OneDrive, Dropbox, or cloud backup service for attachment folder
- Document storage location: Keep written record of where attachments are stored
- Test backup restoration: Quarterly, verify you can restore attachments from backup
- Restrict deletion access: Limit who can delete files from attachment folder
- Version control: Keep multiple generations of backups (3-6 months)
